Privacy Policy

FPG HomeBase is designed to keep a homeowner’s property records together without selling homeowner information or turning contractor recommendations into lead generation.

Information we store

We store a stable Clerk account identifier and current email, property profiles, maintenance records, equipment information, finishes, inspection findings, documents, household permissions, reminder preferences, support requests and activity records needed to secure and operate FPG HomeBase.

How information is used

Information is used to provide FPG HomeBase, organize uploaded records, generate homeowner-authorized Home Passports, support users, prevent abuse and improve reliability. Florida Property Group does not sell FPG HomeBase data or use it to create contractor advertising profiles.

Service providers

FPG HomeBase uses Clerk for homeowner registration and sign-in, OpenAI Sites hosting, Cloudflare-backed database and private file storage, Google Maps Platform for primary address suggestions, Esri as an address-search fallback, identified county GIS/property-appraiser sources and client-side OCR support. Transactional email is delivered through Resend when the verified FPG sender is active. Private GitHub Actions may run signed maintenance and uptime checks and retain encrypted disaster-recovery archives. Exact addresses may be sent to Google Maps, Esri and county-record services as needed to locate public property information.

Email and reminders

Account, invitation, ownership-transfer, support and deletion messages may be sent to the verified email connected to the account. Maintenance digests are opt-in and can be turned off in Account Settings. Delivery records can include a one-way recipient hash, message type, provider message identifier, delivery result and timestamps. Addresses that bounce or report a complaint are also retained only as a one-way hash so HomeBase can prevent further unwanted delivery without keeping the readable address in its suppression list. HomeBase email templates do not include tracking pixels, and document contents are not placed in operational alerts.

Recommended contractors

FPG HomeBase may display a curated directory of local providers. Browsing it does not send your name, email, phone number, property address, documents, inspection findings, maintenance history or account activity to a contractor. No quote request is submitted and no contractor is authorized to contact you because you viewed the directory. If you choose to call, email or visit a provider’s website, you decide what information to share and that provider’s own privacy practices apply.

Documents and recognition

Inspection reports can contain names, email addresses, telephone numbers and other private information. Upload only records you have the right to store. HomeBase validates supported file types and signatures but does not promise full antivirus scanning. Automatically recognized report, equipment and public-record information may be incomplete or incorrect and should be reviewed.

Sharing

Property information remains private unless a homeowner invites a household member or creates a time-limited Home Passport link. Homeowners can revoke active Passport links. Anyone possessing an active link can view the information selected for that link.

Ownership transfers

When a recipient accepts an ownership transfer, the property profile and its records move to the recipient’s account. This includes documents, equipment, maintenance history, finishes, inspection information and other property data. The former owner loses access, prior household access is revoked and existing Home Passport links stop working. Before starting a transfer, remove personal documents or information that should not go to the new owner. The former owner’s earlier household and activity-history details are not included in the new owner’s account export.

Backups, retention and choices

Homeowners can download a portable backup containing structured records and the actual files they own, or a smaller data-only export. FPG also maintains access-controlled, encrypted recovery copies separately from the live service. FPG verifies property ownership and shared access before permanently deleting records from the live database, private file storage and Clerk sign-in. Encrypted recovery copies age out on their retention schedule and are used only for disaster recovery; they are not restored to bypass a completed ownership transfer or deletion. A deletion-confirmation address may remain encrypted for up to seven days while delivery is retried, then is scrubbed. After deletion, HomeBase retains only a minimized, non-email account tombstone needed to prevent an already-deleted sign-in session from recreating the account, plus records required for security or law.
